Anonymized Case — AP exam registration, payment and Join Codes for a BC private school: about 690 registrations in one season
Registration, payment and the Join Code in one place, with payments reconciled against registrations — so exam season is no longer a spreadsheet job.
Privacy note: the school is anonymized. No school name, student information or actual Join Codes are shown — only the workflow and the volume it handled.
Overview
For a BC private school: one platform for AP exam registration, payment and Join Codes, which handled about 690 registrations in a single season with payment reconciliation. Related work for the school and other education clients: an admissions application system, an AP prep platform with automatically generated explanation videos, and a tutoring school's teaching platform. Client anonymized.
Every AP season, a school that runs the exams has to collect registrations, take payment, give each student the Join Code they need, and make sure the money matches the list. Done with forms, email and spreadsheets, that is weeks of checking by hand, and the mistakes show up at the worst time. We built the school one platform for the whole flow: a student registers, pays, and gets the Join Code; the office sees who has paid and who has not, already reconciled.
The challenge
AP exam registration touched three things that lived apart: who signed up for which exam, who had paid, and which Join Code each student needed. Keeping them in line by hand meant re-checking lists against payments, answering "did my payment go through" emails, and chasing missing details close to deadlines.
Our approach
Put the three steps in one flow. Students register for their exams, pay online, and receive their Join Code in the same place. Each payment is tied to its registration, so reconciliation is part of the system rather than a month-end task. School staff see the live state of every registration: registered, paid, Join Code issued.
Results
In one season the platform handled about 690 registrations, with payments reconciled against them. Staff work from one list instead of several, and students have one place to register, pay and find their Join Code.
One flow: register, pay, get the Join Code
- Students choose their exams and register online.
- Payment is taken in the same flow and tied to the registration.
- The Join Code is issued to the student in the same place.
- Staff see each registration's status at a glance, and payments are reconciled as they arrive.
The hard part of exam season is not the form; it is keeping registrations, money and codes in line. That is what the platform is for.
Related education work
The same way of working — one system per job, owned by the school — runs through our other education projects:
- An admissions application system for a private school: applications collected and reviewed in one place.
- An AP prep platform whose explanation videos are generated automatically.
- A teaching platform for a tutoring school — see the tutoring school case study for the operations side.
Technical breakdown
- Registration, payment and Join Code issuance in one web application.
- Each payment linked to its registration record, so reconciliation needs no separate spreadsheet.
- Staff view of every registration's status across the season.
Reusable lessons
- Seasonal workflows deserve a system too: a few weeks of peak load is where manual checking breaks.
- Tie payment to the registration at the moment it happens, and reconciliation stops being a separate job.
- Never publish real codes or student data in a case study — the workflow is the story.
