Systems for Vancouver clinics and med spas — booking, clients, inventory and IT in one place

Your front desk stops copying records between tools, every location works from the same data, and someone looks after your servers and EMR. The systems support your staff; clinical decisions stay with your licensed team.

What is a clinic business system?

A clinic business system connects the pieces most clinics run separately: booking, client records, inventory, compliance reminders and IT. Staff switch between fewer tools, month-end takes fewer spreadsheets, and owners can see every location at once.

We built this end to end for a medical aesthetics group with clinics in Richmond, Burnaby and North Vancouver. We rebuilt the website and its SEO/GEO, and daily search clicks rose 32% after the redesign. We integrated their booking with Zenoti and built a custom CRM around it, set up a daily compliance-monitoring email, run their OSCAR EMR, and manage their IT: about 30 servers, backups, security checks and the phone system. A central inventory that deducts stock automatically per treatment is planned.

These systems handle workflow and data, not medicine. Treatment plans and chart notes remain the job of your licensed physicians and nurses.

Separate tools vs. a connected system

Many clinics run a booking app plus a few spreadsheets. Connected, each record is entered once.

Client records
Booking app plus spreadsheets:Bookings in one tool, files in a spreadsheet, the front desk copies between them
A NextAgent clinic system:Booking and CRM are linked, so the file is ready before the client arrives
Inventory
Booking app plus spreadsheets:You find out what ran low at the next count
A NextAgent clinic system:Planned: stock deducted per treatment, visible at any time
Multiple locations
Booking app plus spreadsheets:Each clinic keeps its own records
A NextAgent clinic system:All locations share one dataset, so head office sees the whole picture
IT and compliance
Booking app plus spreadsheets:Someone gets called when something breaks
A NextAgent clinic system:A daily compliance email, and servers, backups and phones looked after

What we build

Website and SEO/GEO

A rebuilt clinic website that nearby clients can find in Google and in AI search. Pages describe treatments and process, with no outcome claims and no before-and-after photos.

Booking and Zenoti integration

Already on Zenoti? Keep it. We bring its booking data into your own system so the front desk doesn't enter it twice.

Client CRM

Client management built around your process: visit history, treatments, follow-up dates. Front desk and consultants work from the same file.

Central inventory (planned)

Products and supplies for every location in one stock list, deducted per treatment, with a heads-up to whoever does purchasing.

Daily compliance email

One morning email listing items that need attention, sent to the person responsible. Whether you are compliant is still for that person and your advisors to judge.

OSCAR EMR support and managed IT

We look after the EMR's servers, backups and updates, along with your phones and network. The charts themselves belong to your clinical team.

Scope, modules and cost in writing before any build starts.

A paid 2-week proof of concept

Launch and ongoing support

A bilingual (English/Chinese) team stays on it. Client data can live on your own servers rather than a third-party cloud.

Clinic and med spa systems: common questions

We already use Zenoti. Do we have to switch?

No. We integrate with it: booking data from Zenoti flows into your own CRM and reports, and staff keep using the booking software they know.

Can a med spa keep client data on its own servers?

Yes. The system and its database can run on servers you own, and we handle deployment and maintenance. Where everything lives is written into the proposal before work starts.

Who maintains OSCAR EMR day to day?

We can take on the servers, backups, updates and troubleshooting, as we do for a three-clinic medical aesthetics group. Chart content and clinical decisions stay with your own team.

Can several clinics share one inventory?

Yes, and it is a feature we are currently planning for a medical aesthetics group: one stock list for every location, deducted automatically per treatment. We'll always tell you plainly what is built and what is still in planning.

Will the compliance email help us pass an inspection?

It doesn't make compliance decisions. It gathers the items that need attention into one daily email for the responsible person. What counts as compliant, and what to fix, is decided by your team and your advisors.

Will SEO for our clinic website mean making treatment claims?

No. Pages cover treatments, process and practitioners' credentials, without outcome claims or before-and-after photos. Daily search clicks rose 32% after we redesigned one group's site, but nobody can promise rankings or traffic in advance.

How much does a clinic system cost?

It depends on the modules and the number of locations. You get a written quote first, then a paid 2-week proof of concept that is credited in full if you continue.
